xBooking & Attendance Policy At Rapha’s Counseling Center, our mission is to provide a path toward healing and restoration. To maintain a professional and sustainable practice for all our clients in Trinidad and Tobago, St. Eustatius, and beyond, we operate under the following guidelines. 1. Booking & Payment Secure Portal Payments: To confirm your appointment, payment must be made in advance through our online website portal. Confirmation: Your time slot is reserved once the payment is successfully processed. You will receive a digital receipt via email, which serves as your booking confirmation. Private Pay: We are a private-pay service and do not process insurance claims. This allows us to focus entirely on your care without third-party interference. 2. The 24-Hour Grace Period We understand that life in the Caribbean can be unpredictable. We offer a flexible cancellation policy built on mutual respect: Notice Requested: If you need to cancel or reschedule, please do so at least 24 hours before your appointment. No Cancellation Fees: We do not charge "Late Cancellation" or "No-Show" fees. We believe in a grace-centered approach to counseling. Refunds/Credits: If you cancel a session that has already been paid for through the portal, you may choose to receive a full refund or apply the credit to your next scheduled session. 3. Session Logistics Late Arrivals: If you arrive late to your online session, we will still end at the scheduled time to remain fair to other clients. Technical Issues: If local internet outages (in T&T or Statia) prevent a video session, we will either switch to a voice call or reschedule your session at no additional cost. Environment: For your privacy and the quality of the session, please ensure you are in a quiet, private space. 4. Confidentiality & Records Even though we do not use third-party note-taking applications, your privacy is our highest priority. Your personal data and session notes are stored in a secure, encrypted offline environment. No information is shared with third parties without your written consent, except where required by the laws of your specific jurisdiction. 5. Emergency Support Rapha’s Counseling Center provides scheduled therapeutic support and is not a crisis intervention service. In Trinidad & Tobago: Call 800-SAVE (7283) or 999.
